SPONSOR FAQS

The below FAQs are specific to sponsors.

GENERAL

What are the dates of the event?
Elite Retreat will be held October 8 – 10. View the Agenda. Attendees should plan to arrive on Sunday, October 8 before 5:00 p.m. and depart on Tuesday, October 10, unless arrangements have been made to extend your stay.

What is the recommended attire?
Resort casual attire is recommended for all event activities. Average temperatures range from 58° – 78°F. Remember to pack a light sweater or jacket and your peachiest outfits.

What expenses are covered by Private Advisor Group?
Sponsors receive conference attendance and all event meals.

What expenses are not covered by Private Advisor Group?
Sponsors are responsible for all hotel nights before, during, and after the event; transportation to and from the event; meals and activities not included in the official event agenda; and local transportation and parking. Sponsor-hosted dine-arounds and entertainment are also not covered.

How many attendees may we send?
Each sponsor can register up to two (2) attendees, including speakers. 

Can I bring a guest?
Sponsors are permitted to bring a guest to attend Elite Retreat. There is a $500 guest fee for the event.

REGISTRATION

How do I register for the event?
Register here.

What is the registration fee?
Attendance at the event is included in your sponsor package. There is no additional registration fee to attend this event.

When is the registration deadline?
Registration closes on Wednesday, September 13 at 11:59 p.m. ET.

How do I modify my conference registration?
To modify your conference registration, click the link in your confirmation email or sign in. Make any modifications to your registration and save. You will receive an email confirming your modifications. All modifications to your conference registration must be made by September 15.

To modify your hotel reservation, click the link in the confirmation email you received from the hotel. All modifications to your hotel reservation must be made through the dedicated hotel booking link by October 4.

CANCELLATION

How do I cancel my conference attendance?
To cancel your attendance, please complete the following steps:

  1. Cancel your conference registration by clicking the cancel registration link in your confirmation email, or by signing in. Navigate to the Cancel Registration step and select the X next to your Registrant Details.
  2. Cancel your hotel reservation by clicking the cancellation link in the confirmation email from the hotel.

If you fail to cancel your conference registration more than 72 hours prior to the conference, you may be charged a late cancellation or no-show fee. Cancellations or no-shows forfeit any travel reimbursement.

AGENDA

When will the full agenda be published?
Stay tuned; it’s coming soon! We’re still working on bringing the perfect agenda into alignment.

What activities can sponsors attend?
Unless indicated as ‘Invite Only’, sponsors are invited to attend all event sessions and activities.

TRAVEL

How do I make my travel arrangements?
Attendees are responsible for making their own travel arrangements. View the Agenda as you plan your travel. Please complete and confirm your conference registration and lodging prior to making any travel arrangements.

What airport should I fly into?
The nearest major airport is
Savannah Hilton Head International Airport [SAV], which is about 25 minutes from the hotel.

Can I travel by train?
The destination is reachable by train. 
Travel to the Savannah, GA station, which is about 15 minutes from the hotel.

How much is parking?
There is discounted self-parking parking for $20 per night.

How do I arrange ground transportation to and from the hotel?
All attendees are responsible for coordinating their own ground transportation via taxi, rideshare, transit, or other means.

LODGING

Where are we staying?
The event is being held at The Westin Savannah Harbor Golf Resort & Spa located at 1 Resort Dr., Savannah, GA 31421.

How do I book my hotel room?
After registering for the conference, you will be directed to a dedicated booking link to make your hotel reservation.  Use only this booking link to make your hotel reservation.

What are the check-in and check-out times?
Check-in time is 4:00 p.m. and check-out time is 11:00 a.m. Early check-in and late check-out are subject to availability and hotel approval.

What is the room cost?
The discounted group room rate is $259 + taxes and fees per night.

Can I extend my stay?
You may book additional nights at the discounted room rate (see above) October 5 – 12. This rate is subject to hotel availability and at your expense. Please make your extension requests through the dedicated booking link you will be directed to after you complete your conference registration.

What is the hotel cancellation policy?
Please view the Cancellation section above for more information.

EXHIBIT HALL

What times are scheduled for sponsor exhibits?
Sponsor exhibits will be held during breakfast on Monday, October 9, 7:00 a.m. – 8:00 a.m.

When do we need to set up our Exhibit Hall station?
Exhibit Hall setup time is Sunday, October 8, 1:00 p.m. – 5:00 p.m.

How do I ship materials to the event?

Please include the sponsor name, company, and ATTN: Elite Retreat / JinJin Charon prominently on all packages. Shipments should arrive no earlier than Wednesday, October 4. You are responsible for any receiving or holding fees.

What will be provided at my exhibitor station?
Your exhibitor setup will include one 6-foot table, two chairs, and linens.

DINE-AROUNDS, ACTIVITIES & ROOM DROPS

When should we coordinate our sponsor dine-around or activity?
Sponsor dine-arounds should be planned for the evening of Sunday, October 8 after 7:00 p.m. Afternoon activities should be planned for the afternoon of Monday, October 9, 1:00 p.m. – 6:00 p.m.

When will we receive attendee information to promote our dine-around?
We will distribute the link to an always up-to-date attendee report via email prior to the registration deadline.

How do we coordinate a room drop?
To coordinate a room drop, contact
JinJin Charon at the hotel to coordinate directly. You are responsible for all costs associated with room drops.

Do I need to submit my information about my dine-around, activity, or room drop to Private Advisor Group?
Yes. Submit your dine-around information through the Sponsor Engagement Form by September 22.
