General

What are the dates of the event?
Elite Retreat: Cowboys & Community will be held October 5 – 7. View the Agenda. Attendees should plan to arrive on Sunday, October 5 before 5:00 p.m. and depart on Tuesday, October 7 at any time, unless arrangements have been made to extend your stay.

 

What is the recommended attire?
Cowboy casual is recommended for all event activities, so feel free to rock those jeans. Average temperatures range from 60° – 82°F with rain on 15% of days. Don't forget your cowboy getup for Monday's Texas Tailgate.

 

What expenses are covered by Private Advisor Group?
Advisors receive a two-night hotel stay for Sunday, October 5 and Monday, October 6; travel reimbursement up to $250; and all event meals.

 

Can I transfer my invitation to someone else?
In the event you are unable to attend, your invitation is not transferrable to anyone else. 

 

Can a member of my office staff attend?
If your office staff member is your invited guest (e.g., spouse), they are subject to all guest policies (see "Guests" below).

 

What expenses are not covered by Private Advisor Group?
Attendees are responsible for additional hotel nights before or after the event (subject to hotel availability); additional rooms or room upgrades; travel expenses beyond the reimbursable amount; meals and activities not included in the official event agenda; and local transportation and parking.

Guests

Can I bring a guest?
Every advisor is invited to bring up to one (1) complimentary adult guest (18+) to attend official event functions. Adult guests are invited to attend the Welcome Roundup, lunch session, and the Texas Tailgate. Guest participation in sponsor dine-arounds and activities are at each sponsor's discretion.

 

Do I need to register my guest?
All guests attending Private Advisor Group event functions must be registered. A name badge is required to access event functions. Guests who are not attending official event functions do not need to register.

 

Can I bring additional guests or children to the event?
Event functions are primarily designed for advisors and their adult guests. Children and adult guests who are not attending official event functions do not need to register. If you would like to bring a child or additional adult guest to event functions, there is a $500 guest pass fee. Any additional rooms or upgrades are your responsibility and subject to hotel availability.

 

Can I book an additional room to accommodate my guest?
Any guests requiring additional rooms are your responsibility and subject to hotel room availability (see Lodging below).

Registration

What is the registration fee?
There is no registration fee for advisors attending the event. There is a $500 registration fee for children or additional adult guests beyond the first.

 

When is the registration deadline?
Registration closes on Wednesday, September 3 at 11:59 p.m. ET.

 

How do I modify my registration?
To modify your conference registration, click the link in your confirmation email or sign in. Make any modifications to your registration and save. You will receive an email confirming your modifications. All modifications to your conference registration must be made by September 3.

Lodging

Where are we staying?
The event is being held at The LINE Austin located at 111 E Cesar Chavez St., Austin, TX 78701.

 

How do I book my hotel room?
After registering for the conference, you will be directed to a dedicated booking link to make your hotel reservation. Reservations must be made through the hotel booking linkAny rooms booked through the hotel’s primary website, by calling the hotel, or through third-party booking sites will not be covered by Private Advisor Group.

 

What are the check-in and check-out times?
Check-in time is 3:00 p.m. and check-out time is 12:00 p.m. Early check-in and late check-out are subject to availability and hotel approval.

 

What is the room cost?
The discounted group room rate is $309 + taxes and fees per night.

 

Can I extend my stay?
You may book additional pre- or post-event nights through the hotel booking link at the non-discounted standard hotel rate subject to availability and at your expense. Due to events happening in the city of Austin, the hotel is unable to offer a discounted rate or guarantee availability. Accordingly, we recommend securing your hotel reservation before making any travel arrangements.

 

How do I modify my hotel reservation?
To modify your hotel reservation, click the link in the confirmation email you received from the hotel. All modifications to your hotel reservation must be made through the dedicated hotel booking link by September 3.

Travel & Reimbursement

How do I make my travel arrangements?
Attendees are responsible for making their own travel arrangements. View the Agenda as you plan your travel. Please complete and confirm your conference registration and lodging prior to making any travel arrangements.

 

What airport should I fly into?
Austin-Bergstrom International Airport [AUS] is the closest major airport, and is 20-25 minutes from the hotel.

 

How much is parking?
Discounted valet parking is available for $40.50/day (subject to change). Self-parking is not available at the hotel. Parking is not reimbursable.

 

How do I arrange ground transportation to and from the hotel?
All guests are responsible for coordinating their own ground transportation via taxi, rideshare, transit, or other means.

 

What is the travel reimbursement policy?
Advisors are eligible for up to $250 in travel reimbursement toward airfare, train fare, or driving mileage. Business class, first-class, and airfare purchased with points are not reimbursable. If you would like to upgrade your flight, you may submit the economy ticket price for reimbursement only. Driving mileage is reimbursed at the IRS standard mileage rate. Guest travel, trip insurance, parking, and ground transportation are not eligible for reimbursement.

 

How do I submit my reimbursement request?
Once you have made travel arrangements, submit your request through the Reimbursement Request Form by October 31. If you are traveling by car, you will need to upload a roundtrip map showing the total mileage.

 

When will I receive my reimbursement?
All reimbursement requests will be disbursed after the request deadline, and may take several weeks to process. If you have any questions, please contact accounting@privateadvisorgroup.com.

Cancellation

How do I cancel my conference attendance?
To cancel your attendance, please complete the following steps:

  1. Cancel your conference registration by clicking the cancel registration link in your confirmation email, or by signing in. Navigate to the Cancel Registration step and select the X next to your Registrant Details. Guest registrants must be cancelled first.
  2. Cancel your hotel reservation by clicking the cancellation link in the confirmation email from the hotel.

If you fail to cancel your conference registration more than 72 hours prior to the conference, you may be charged a late cancellation or no-show fee. Cancellations or no-shows forfeit any travel reimbursement.
