FAQs

General

What are the dates of the event?
Elite Retreat: Cowboys & Community will be held October 5 – 7. View the Agenda. Attendees should plan to arrive on Sunday, October 5 before 5:00 p.m. and depart on Tuesday, October 7 at any time, unless arrangements have been made to extend your stay.

 

What is the recommended attire?
Resort casual is recommended for all event activities. Average temperatures range from 60° – 82°F with rain on 15% of days. Don't forget your cowboy getup for Monday's Texas Tailgate.

 

What expenses are covered by Private Advisor Group?
Sponsors receive conference attendance and all event meals.

 

What expenses are not covered by Private Advisor Group?
Sponsors are responsible for all hotel nights before, during, and after the event; transportation to and from the event; meals and activities not included in the official event agenda; and local transportation and parking. Sponsor-hosted dine-arounds and entertainment are also not covered.

 

How many attendees may we send?
Each sponsor may register up to two (2) attendees.

 

What activities can sponsors attend?
Unless indicated as ‘Invite Only’, sponsors are invited to attend all event sessions and activities.

Guests

Can I bring a guest?
Sponsors may bring up to one (1) adult guest (18+) to attend official event functions. Adult guests are invited to attend the Welcome Roundup, lunch session, and the Texas Tailgate. All sponsor guests attending Private Advisor Group event functions must be registered and there is a $500 guest pass fee for the event.

Registration

What is the registration fee?
There is no registration fee for sponsors attending the event. There is a $500 registration fee for guests (see Guests).

 

When is the registration deadline?
Registration closes on Wednesday, September 3 at 11:59 p.m. ET.

 

How do I modify my registration?
To modify your conference registration, click the link in your confirmation email or sign in. Make any modifications to your registration and save. You will receive an email confirming your modifications. All modifications to your conference registration must be made by September 3.

Exhibit Hall

Is there an exhibit hall?
No. Unlike past events, there is no sponsor exhibit hall at this year's event. Rather than ship your exhibitor materials across the country for a single hour of exhibit time during breakfast, we recommend spending time and resources planning a sponsor dine-around on Sunday evening; hosting a sponsor activity on Monday afternoon; and networking during the Welcome Roundup, breakfast, Texas Tailgate, and throughout the event.

Dine-arounds, Activities & Room Drops

How do we coordinate a sponsor dine-around?
Sponsor dine-arounds should be planned for the evening of Sunday, October 5 after 7:00 p.m. Contact us for a list of dine-around options or for guidance. Submit your dine-around information by September 24.

 

How do we coordinate a sponsor activity?
Activities should be planned for the afternoon of Monday, October 6, 1:30 p.m. - 6:00 p.m. Contact us for a list of options or for guidance. Submit your activity information by September 24.

 

How do we coordinate a room drop?
Guest room deliveries can be coordinated with the hotel for $20.00 per room for a single item. If there are multiple items, they must be combined in a single gift bag. Room drops must be coordinated at least 14 days prior to arrival and should be assembled prior to delivery. Deliveries will take place between 5:00 p.m. and 7:00 p.m. All room drops are subject to approval by Private Advisor Group. Contact Holly Gallagher to get started.

Lodging

Where are we staying?
The event is being held at The LINE Austin located at 111 E Cesar Chavez St., Austin, TX 78701.

 

How do I book my hotel room?
After registering for the conference, you will be directed to a dedicated booking link to make your hotel reservation. You are responsible for all hotel nights before, during, and after the event. Reservations must be made through the hotel booking link.

 

What are the check-in and check-out times?
Check-in time is 3:00 p.m. and check-out time is 12:00 p.m. Early check-in and late check-out are subject to availability and hotel approval.

 

What is the room cost?
The discounted group room rate is $309 + taxes and fees per night.

 

Can I extend my stay?
You may book additional pre- or post-event nights through the hotel booking link at the non-discounted standard hotel rate subject to availability and at your expense. Due to events happening in the city of Austin, the hotel is unable to offer a discounted rate or guarantee availability. Accordingly, we recommend securing your hotel reservation before making any travel arrangements.

 

How do I modify my hotel reservation?
To modify your hotel reservation, click the link in the confirmation email you received from the hotel. All modifications to your hotel reservation must be made through the dedicated hotel booking link by September 3.

Travel

How do I make my travel arrangements?
Attendees are responsible for making their own travel arrangements. View the Agenda as you plan your travel. Please complete and confirm your conference registration and lodging prior to making any travel arrangements.

 

What airport should I fly into?
Austin-Bergstrom International Airport [AUS] is the closest major airport, and is 20-25 minutes from the hotel.

 

How much is parking?
Discounted valet parking is available for $40.50/day (subject to change). Self-parking is not available at the hotel. Parking is not reimbursable.

 

How do I arrange ground transportation to and from the hotel?
All guests are responsible for coordinating their own ground transportation via taxi, rideshare, transit, or other means.

Cancellation

How do I cancel my attendance?
To cancel your attendance, please complete the following steps:

  1. Cancel your conference registration by clicking the cancel registration link in your confirmation email, or by signing in. Navigate to the Cancel Registration step and select the X next to your Registrant Details.
  2. Cancel your hotel reservation by clicking the cancellation link in the confirmation email from the hotel.

If you fail to cancel your registration and hotel reservation more than 72 hours prior to the conference, you may be charged a late cancellation or no-show fee.
